Our tone of voice has been written with our partners in mind. We want to ensure that you, as a Flex IT representative, are easily able to align your messaging with the Flex IT brand guidelines. The tone of voice assists in creating a brand personality which will influence how the global market sees us.
Flex IT must be written as followed:
Flex IT
Any other forms are incorrect. Typically versions such as Flexit, FlexIT, Flex it, FlexIt or any other variations are incorrect and must not be used.
The IT part of the Flex IT name is pronounced as you would when abbreviating Information Technology, so: Eye Tea.
Keep these characteristics in mind in your communication.
Always focus on highlighting the positive aspects of circular products instead of the negative aspects of non-circular products.
We are the key expert in Circular IT and therefore should speak from that position when informing the world about Circular IT.
We are an IT Vendor/producer and our enthusiasm for IT and the important role it plays in our daily lives should be paramount.
Maintaining realism in our communication means we can keep our word. This honestly approach aligns the Flex IT brand with positive associations such as: trustworthy, authentic and reliable.
Despite positioning ourselves as a leader, we acknowledge that we can also learn from others. Do not hesitate to ask for opinions from vendors, resellers or other external parties.
There are certain differences in communication per department. Use this as a guideline, but we trust each employee to adapt their messaging to the level of formality best suited for the situation at hand. What is important is that you always maintain professional communication and not contradict the ToV, the Flex IT Brand Bedrock, or the Flex IT values.
For example, external messages such as e-mails send from CRM, should always be sent in a formal way. When there is a longstanding relationship between the client and the person from Flex IT you could chose to be more informal in direct communications whist maintaining professionalism.
Hi {first name}...
Dear {first name}...
Several departments deal with both end-users as well as resellers. Within these two groups, the knowledge about IT may obviously differ. Therefore, each target group must be addressed accordingly. Below you will find the tone of voice guidelines.
Keep it Flex IT - it is not necessary that all communications contribute to or involves our Circular positioning, but they must never be contradictory our mission and or our vision.
Stay consistent - try to address clients similarly cross- platform. When talking on the phone after first sending an e-mail, ensure your verbal tone doesn’t deviate too far from your written tone.
Stay recognizable - communication should resonate with clients in the branch, so please do not hesitate to include tech jargon that our clients (IT resellers) are familiar with.
Keep it simple and concise - it is important to refrain from using tech jargon that might confuse end users. Instead, keep communication simple and direct while following the general Flex IT Voice guidelines. We do not want to confuse the customer.
Please refrain from using exclamation marks. Exclamation marks can be interpreted as being aggressive.
Refrain from using the term refurbished. Instead use the world circular.
Choosing refurbished IT not only helps with your budgetary restrictions, it also contributes to the preservation of precious resources.
Choosing circular IT not only helps with your budgetary restrictions, it also contributes to the preservation of precious resources."
The exception is when you are explaining what the term circular IT entails.
